Yeastar AI: from employee assistance to smart customer interactions

For many businesses and their customers, the most familiar application of AI in communications systems has been the standalone chatbot. Yeastar has significantly exceeded that standard by incorporating AI directly into its P-Series ecosystem, working with actual calls, voicemails, call routing, and business workflows.

In this article, we showcase some of Yeastar’s most innovative AI integrations in two particular areas: AI that assists employees and agents, and AI that interacts directly with customers. As you will see, these aren’t just AI features for AI’s sake. Their purpose is to reduce repetitive work and make communication more effective.


Yeastar P-Series AI assistance for employees

The purpose of integrating AI so deeply into Yeastar’s P-Series communication platforms is not to replace the human agent, but to reduce the administrative burden and repetitive tasks associated with each call. AI plays a major role in several employee-centered features, as described below.

 

Call transcription

Thanks to AI, employees can focus on the conversation at hand rather than worrying about taking extensive notes. Yeastar's AI Call Transcription provides a detailed, searchable transcript of the conversation. These saved transcripts can then be further processed for use with additional AI features as described below. This feature is especially useful for call center agents, but it also has value for all types of employees who wish to keep an accurate and extensive record of important phone calls.

 

Call summaries and action items

With Yeastar's AI Call Transcription & Summary feature, call transcripts can be used to create call summaries, much like meeting minutes, where the most important points and decisions made during the conversation are summarized. These can be further processed into action items, thereby transforming the transcript into useful, actionable information.

After a call, Yeastar generates a summary that includes key points and to-dos, significantly increasing efficiency. This capability allows for faster review, means fewer forgotten commitments, and enables much easier follow-up. In a sense, AI becomes a meeting secretary for ordinary phone calls.

 

Voicemail transcription

For many users, particularly those in the younger generations, voicemail can feel like a legacy feature from an earlier era of business communications. Yeastar's AI Voicemail Transcription tool brings voicemail into today’s technological ecosystem. Voicemails can be converted into readable text, allowing you to scan messages much faster than is possible by simply listening to them sequentially. This is particularly useful for anyone handling large volumes of voicemail messages.

Voicemail transcription essentially allows voicemails to be handled more like text messages, resulting in a much more contemporary and familiar functionality than traditional voicemail.

 

AI text-to-speech

In the past, telephone voice prompts and announcements had to be recorded either using a specialized phone feature or saved as an audio file on a computer for later entry into the system. Changes required re-recording the entire message, a process that took time and could result in low-quality audio.

With Yeastar’s Neural Text-to-Speech (NTTS) capability, customized announcements, prompts, and greetings can be created by simply entering the text to be read, making frequent changes much easier to manage. AI speech generation plays such messages to callers automatically in multiple languages, with various voices and speech rates. This feature can be used across extensions, voicemail greetings, IVRs, queue announcements, ring groups, and call flows.

 

AI agents for customer interaction

The capabilities discussed so far leverage AI for use with human conversations. Yeastar’s second category of AI-based capabilities goes significantly further, allowing AI to participate in the conversation itself. These capabilities revolve primarily around Yeastar’s AI Receptionist with MCP Server integration. MCP refers to Model Context Protocol, which we describe in more detail below.

We’ve all come to know the traditional IVR (interactive voice response), which offers options to press depending on what callers want or need. Yeastar’s AI Receptionist replaces this rigid menu functionality with an AI agent that callers can talk to. The key here is that the system can accurately recognize caller intent through several innovations.

 

Natural language call handling

Callers speak naturally, describing what they need rather than listening to specific options and learning the menu choices. The AI agent is smart enough to understand the caller’s intent and can respond by directly connecting the caller to a human agent, asking for additional information, or, if possible, resolving the issue without any human interaction. With this feature, the callers' experience changes from a command-driven process to a conversational interaction.

Several capabilities work together to make these natural, intelligent interactions possible, as described below.

Knowledge-based answers

The AI Receptionist can draw on a custom knowledge base containing relevant information you provide. Knowledge bases, FAQs, documentation, and other sources of information can be ingested by the agent and searched in real time during a call to answer routine questions without involving a human agent. For example, questions about opening hours, service information, basic troubleshooting, and specific policies are among the responses the AI agent can easily handle. If it cannot respond sufficiently, it can hand off to a human agent in an intelligent and efficient manner, as follows.

Intelligent call routing and contextual handoff

Once the AI agent determines the caller's intent, it can perform one or more of the following actions:

  • Route the call to the appropriate agent based on the caller's needs and the agent’s expertise. This feature is called Intent-Based Transfer
  • Collect caller information, including name, telephone number, product or subscription information, and call history, and present it to the human agent receiving the call. This feature is called Information Collection
  • Provide the collected information of the call so far based on the AI receptionist’s interaction with the caller

In this way, the human agent doesn’t need to start the conversation from the beginning, asking questions that would require the caller to repeat information they've already shared. This saves time for both the caller and the agent and also provides a more favorable call experience for the customer.

Business system integration

An AI receptionist that answers questions is useful, but one that interacts with the business systems behind those answers is far more powerful. Yeastar supports mechanisms that enable the AI Receptionist to interact with other business systems, including CRMs, ERPs, ticketing systems, and calendars. A key component of this operational capability is the Model Context Protocol (MCP).

 

MCP: connecting AI to business systems

MCP (Model Context Protocol) is an industry protocol that defines a standardized way for AI systems to discover and invoke tools exposed by external systems. Instead of creating multiple individual custom connections between the receptionist and each CRM, calendar, order-management system, ticketing system, etc., an MCP server can expose a collection of ready-to-use tools for the AI receptionist to use.

For example, when a caller says, "Can you tell me when my order will arrive?" the following process takes place:

  • AI processes the request
  • It selects the appropriate MCP tool
  • The tool queries the order system
  • The result is returned to the AI
  • The AI tells the customer the shipping status in the same conversation

MCP essentially opens the door to Yeastar’s interaction with CRM, scheduling, ticketing, order management, and other business systems, allowing the AI Receptionist to take action within those systems rather than simply providing information to callers.

These AI capabilities are generally available on Enterprise and Ultimate subscription plans, with Call Transcription and AI Receptionist services using included minute allowances, plus optional additional capacity. Feature availability and allowances vary by edition, firmware release, plan, and subscription, so customers should verify current Yeastar licensing with their provider.
